Legal Operations Director

Summary:   The Legal Operations Director develops and manages the Legal Operations team consisting of paralegals, legal assistants, office service clerks and receptionists and reports to the Chief Operations Officer. This position is charged with managing the operations and strategic projects of the Legal Operations team and key in creating processes and practices to improve the day-to-day efficiency and effectiveness of the Legal Operations teams, facilitate change and control costs. You must be able to adapt to changing priorities and business needs and must be proactive in identifying areas of need and generating action plans.

Duties and Essential Job Responsibilities:

  • Develop and manage Legal Operations team
  • Manage, respond to, and prioritize incoming legal requests from internal and external customers and triage requests to legal staff
  • Design, implement, and drive process improvements and infrastructure solutions to scale operations and enhance operational quality
  • Serve as a liaison with the Attorneys and Legal Operations team
  • Adopt and support new tools and technology to optimize legal efficiency
  • Develop metrics/dashboards and designed business intelligence systems to monitor performance against goals and targets
  • Supports creation of roadmaps for improvement strategies and initiatives
  • Oversees the planning and execution of Firm Events including firm retreats, holiday gatherings, Attorney meetings, etc.
  • Manage relationships with all firm vendors and negotiates vendor contracts
  • Oversee and manage recruiting of new legal staff including on-boarding, training and terminations
  • Manage annual performance evaluations and bonus evaluations
  • Manage, respond to, human resources issues with the HR management team
  • Work with Controller to ensure client’s inquiries are addressed
  • Work closely with Managing Attorney to keep abreast of all management and workload issues
  • Oversee facilities management including office supply ordering, maintenance of office equipment, etc.

Requested Skills:

  • Bachelor’s degree or equivalent combination of education and work experience
  • Two to four years of office manager/administrator experience, preferably in the legal industry
  • Ability to manage multiple projects with competing priorities, moving quickly from one to the other while meeting all deadlines
  • Independent, resourceful worker who can determine solutions to issues as they arise
  • Ability to assess and set priorities, and manage time in a deadline-driven environment
  • Superior organizational skills and attention to detail
  • Excellent interpersonal, analytical, problem-solving and decision-making skills
  • Ability to quickly respond to new issues/projects, and provide consistent follow up to management
  • Comfortable with handling assignments that range from mundane tasks to complex projects
  • Positive, professional, “can do” attitude and demeanor
  • Willingness to undertake additional responsibilities and assist others when requested
  • Highly proficient in Microsoft (MS) Windows, MS Word, MS Excel, MS Outlook, MS PowerPoint and PDF software
